This position is part-time (2 days per week) and offered on a 12 month Fixed-Term capacity.
Job Description
We are seeking a highly organised and detail-oriented Clinical Placement Administrator to join our growing team. In this role, you will support a team of Placement Specialists responsible for coordinating university student clinical placements across Australia. Reporting to the Partnership & Placement Manager, you’ll play a key role in ensuring smooth administrative operations while contributing to meaningful education outcomes.
Responsibilities will include the following:
Administration & Operations
Coordinate day-to-day administrative activities
Manage schedules, bookings, and travel arrangements
Maintain and update the student communications calendar
Stakeholder & Team Coordination
Liaise with internal teams and external stakeholders
Work closely with Placement Team Leads on daily operational activities
Project & Reporting Support
Track project activity, costs, and reporting updates
Assist with coordination of team meetings and offsite events
Placement & Documentation Management
Prepare and distribute student placement documentation, including confirmation letters and WIL agreements
Coordinate agency and student feedback surveys
Recruitment Support
Assist hiring managers with end-to-end recruitment processes
About You
We’re looking for someone who is proactive, adaptable, and confident working collaboratively in a dynamic environment.
Skills & Experience
Minimum 3 years’ experience in administration or office support
Strong organisational, time management, and multitasking skills
Excellent communication skills and professional phone manner
High attention to detail and a proactive approach
Comfortable learning and working with new systems and technology
Technical Skills
Proficiency in Microsoft Office Suite
